What could one
workflow give back?

AI automation cost & time-savings calculator. Start with one repeated task, include the time a person still needs to review it, and see whether a smaller scope makes sense.

Your working assumptions

Put one workflow
through its paces.

Use a normal week, not your busiest one. The starting numbers are an illustrative example, not measured AIVIQ client results. All costs below are in CAD.

01 The work today
Average runs of this one task.
Hands-on time before automation.
02 The part that can change
Share of runs suitable for this workflow. Other runs stay manual.
Include checking, corrections and an allowance for exceptions.
03 The cost assumptions
A value for released capacity, not money you automatically save. Leave blank for time-only results.
Default: AIVIQ Operations Starter. Replace with your scoped total.
Example only. Include software, usage, hosting and support you expect to buy.

Include applicable non-recoverable tax and internal implementation effort in your costs if relevant. The calculator does not add them.

What the numbers suggest.

Enable JavaScript to calculate your own estimate. The worked example is below.

Capacity is not cash.

Released time only has practical value if you can use it. This estimate does not mean your payroll falls, revenue rises, a role disappears or an implementation will perform as assumed.

Open workings

No mystery score.
Just the arithmetic.

We assume the automated share of task runs replaces the original hands-on work, then add back review time for those runs. Unautomated tasks still take their original time. Add all expected checking and repair effort to review time.

The formulas

  1. Automated tasks each weekTasks per week × automatable percentage ÷ 100
  2. Net hours released each weekAutomated tasks × (original minutes − review minutes) ÷ 60
  3. Net hours released each monthWeekly net hours × 52 ÷ 12
  4. Monthly capacity valueMonthly net hours × hourly labour cost
  5. Illustrative setup break-evenSetup cost ÷ (monthly capacity value − monthly running costs)

Break-even is shown only when an hourly cost is provided and the monthly value after running costs is positive. It is a capacity-value comparison, not cash payback or an investment return. Negative time estimates are retained, not rounded up to zero.

Worked example / Not a client result

Fifty tasks.
Four hours released.

Suppose you handle 50 tasks a week, at 10 minutes each. If 60% of those runs can be automated and each still needs 2 minutes of human review:

  • 30 tasks are automated; 20 stay manual.
  • Current work takes about 8.33 hours a week.
  • The automated tasks replace 5 hours of work but add 1 hour of review.
  • The estimate is 4 net hours a week, or about 17.33 hours a month.

At an illustrative CAD $35/hour, that is about CAD $606.67 of monthly capacity value. Subtract an assumed CAD $100 in monthly running costs: CAD $506.67 remains. A CAD $1,995 setup then takes about 3.94 months to match that estimated net capacity value.

The CAD $100 running cost is a placeholder, not a provider quote. The example assumes 52 comparable weeks, immediate steady-state use and usable released time. Holidays, rollout time, downtime and training can reduce the benefit. Results use unrounded values internally.

AIVIQ starting scopes

What does AI
automation cost?

Our price depends on the agreed workflow, connections and data, not the calculator result. These are AIVIQ's published starting scopes, not a claim about market-wide prices.

One focused workflow

Operations Starter

CAD $1,995

One-time · Fixed after scope agreement

One complete workflow for one business, with up to two existing supported business-tool connections. Choose email assistance, phone intake or reporting, not all three.

Includes written scope, configuration, testing, documentation, one handover session and 30 days of agreed-scope defect correction.

Optional after handover

System Care

CAD $249/month

Ongoing support · Not required

Scheduled health checks, fault triage and up to two support hours per month for the agreed system, including small configuration adjustments.

Hours do not roll over. No 24/7 response commitment. Larger changes are quoted separately.

Budget separately: software subscriptions, hosting, phone minutes, AI usage and applicable tax. Provider costs depend on the actual tools and use. Include optional care in the worksheet only if you expect to buy it. Read the full AI systems scope.

Before you automate

A good estimate starts
with a real task.

Time the process over a representative period. Try a conservative scenario with fewer suitable tasks, longer review and higher recurring costs before deciding.

01 / Fit

Define one repeatable job.

  • Write down its trigger, inputs and useful output.
  • Count how many runs are genuinely similar.
  • Identify the tools, permissions and data required.
  • Keep sensitive or unusual cases outside the automatic path.
02 / Review

Budget for a person.

  • Keep approval for replies, commitments and sensitive decisions.
  • Include correction and exception handling in review time.
  • Allow for setup, training and failed runs.
  • Test with non-sensitive sample data before live use.
03 / Evidence

Agree how you will check it.

  • Record a before-and-after baseline.
  • Measure accuracy as well as time.
  • Document a manual fallback and escalation route.
  • Confirm access, scope and provider costs in writing.
